The players are only half of the team that goes out to compete and without our four legged competitors we wouldn’t have this great sport. Polocrosse Canada Special Recognition

This is a new award for the person who has contributed the most to the Sport of Polocrosse in Canada this year. This person might be someone who works hard at the Polocrosse Canada level getting all the logistics into place for everyone else to play. Someone who takes on a certain responsibility and goes above and beyond what was asked such as; working with the constitution, insurance, umpiring, rating, international relations etc. We all know this is a lot of work and there is little recognition for these people who donate countless hours. Or this person might be an extraordinary coach, who shares their knowledge willingly, is encouraging and where the improvement in his or her students is highly noticeable.

I would like to take this opportunity to let you all know what the latest news in this part of the polocrosse world is.

As some of you may know, there is a bad bug going around the horse world these days.  It’s called EHV 1, which is an  Equine Herpes Virus.  This virus is always around, sort of like the common cold, but there is a mutated strain that is potentially quite serious.  I would advise you to go to the following site for more information ( moore and company).  The upshot is that the virus is ridiculously contagious and possibly fatal.  How it is impacting us is that the best thing to limit this virus is to quarantine our horses for the next few weeks.  There is a 21 day incubation period, and the first case appeared in this area about a week ago.     If no further cases show up, we should be out of the woods by about the 6th of June.  The Millarville Club is doing a voluntary quarantine amongst its members and I urge you to do the same thing.   We feel that the risk is significant enough to curtail our activities for the next few weeks and the season is relatively early now, so it’s an acceptable price.

Please limit your exposure with other horses, even be careful to wash your hands and change your own clothes if you handle a strange horse.

The Council has met and discussed the amendments to the Constitution, we had a pretty good meeting and made good progress in many areas.  If you would like to know more, please contact your Delegate.

Another thing that will impact us this summer is insurance.   In the past, we have actually been in default of our insurance policy.  Capri Insurance, our insurance broker , has a list of “minimum operational requirements” that we sign every year.  We haven’t been following all of those requirements very well  in previous years.  Thankfully, we haven’t had a bunch of bad accidents that would require an insurance payment, because we wouldn’t have been in a strong legal position to make a claim.  We have been working to remedy this situation, but it will require that we do things a bit differently.  For instance, we will be establishing a “Safety Officer” for each club and a similar position for Polocrosse Canada.  This position will be responsible to ensure that the operational requirements from the insurance company are actually being met at our tournaments and jackpots.

Another requirement is that each club will need to have certified first aiders (St. John’s Standard First Aid or equivalent) for their events.  The minimum requirements state that “medical staff or trained paramedics be onsite for the duration of the event”.  I have been working with Capri on this and they have stated that a certified first aider is acceptable.  This will work out better for the clubs as they won’t have to hire paramedics for their events.

I have also been clarifying the age requirements for our members.  In the past, the insurance company wasn’t covering anyone under the age of 16.  After much discussion, they are now prepared to insure members six years of age and up.

Another new development is the requirement to sanction our events. What this means is that Polocrosse Canada must be satisfied that if a club wants to hold an event such as a tournament or jackpot, the club is following the minimum operational requirements from Capri Insurance.  Kayla Hicks is developing a sanctioning form for the clubs and it should be ready very soon.  This should be very helpful to the clubs to get their ducks in a row for their events.  If you look on the website at the “events” calendar, you will see that there are no events posted.  Events will not be posted until they have been sanctioned.

Finally, I must say something about the umpire program.  We are making progress!!!  People are taking the rules quiz, there are more people showing interest in becoming umpires and a scoresheet is being developed.  Good work folks!  I f anyone is interested, please call Al Hicks, Tracey Abbott or Meaghan McGovern.  Umpires are always needed, and are also required as an operational requirement.

In other developments, we will be hosting more Australians.  Lesley Plant and Dave Rees will be hosting a couple of girls for about two weeks and Mike and Robin Grouette will meet two young lads in Dallas Texas and they will be driving up through the USA with Mike’s horses and they will be here for the summer.  Wish it was me making that trip!

The Marketing Committee have been working on a slogan for marketing purposes.  It seems the consensus for the slogan is “KING OF THE TEAM HORSE SPORTS”  Good job Marketing Committee!

Polocrosse is an activity that is made up of  people who are passionate about the sport and volunteer their time and energy to help it grow.  There is always room for more help.  Please get involved.

Take a first aid course.  Become an umpire.  Help out with a committee.  Become a Safety Officer.

The Officers must be decided before April 30th as that is when they take over. Officers may not hold office for more than two consecutive years but may stand for re-election after one year. Nominations should be put forward by clubs and then if two or more nominations are received for one position, they are voted on by delegates.

Please forward any nominations to me, Sue Hicks, Secretary, by March 10th. After this date I will request votes via email if necessary.

The 3 positions are (as outlined in the Constitution):

7. PRESIDENT

7.1 The President shall only have voting power in the case of tie between the Delegates.

7.2 The President shall preside and chair all meetings of the Council.

7.3 The President shall see that all action voted on is carried out.

7.4 The President shall represent the Canadian Polocrosse Association in all National and International engagements.

8. SECRETARY

8.1 The Secretary shall have no voting power.

8.2 If the President is absent from the meeting the Secretary will chair the meeting and take over the responsibilities of both the President and the Secretary for that meeting. This includes the power to vote if the Delegates tie a vote.

8.3 The address of the Secretary shall be the registered office of the Council.

8.4 The Secretary Shall:

(a) attend to all correspondence on behalf of the Council. (b) keep all such books and registers in such form as may be prescribed by the Council: (c) Keep a: (i) Minute Book, (iii) Register of Members which provides a system to record the particulars of all affiliated bodies and members of affiliated bodies. (d) discharge all such other duties and services as may be assigned to him by the Council.

8.5 All correspondence received by any Officer on behalf of the Council shall be forwarded to the Secretary who shall table such correspondence so that it may be dealt with by the Council. Such correspondence shall not be discussed with affiliated bodies or their members prior to being tabled.

9. TREASURER

9.1 The Treasurer shall have no voting power.

9.2 If the President and Secretary are absent from the meeting the Treasurer will chair the meeting and take over the responsibilities of all the officers for that meeting. This includes the power to vote if the delegates have a tie.

9.3 The Treasurer shall:

(a) keep the accounts of the Council. (b) receive and issue proper receipts for all moneys due to or received by the Council and deposit such moneys to its credit at such bank as the Council shall direct. (c) be prepared, at each Council meeting, to submit a statement of receipts and payments for the preceding period, accompanied by a list of accounts rendered to him up to and including the day of the meeting. (d) keep track of all assets owned, leased or maintained by Polocrosse Canada. (e) Keep a record of Members and Clubs, together with such fees as may be payable by such body or member.

9.4 When audited the treasurer shall present or forward such documents to the Council as soon as is practicable after the close of each Fiscal Year.
